WhatsApp is where most Indian customers prefer to talk, and where most businesses have the least process. Enquiries land on one salesperson's personal phone, live there, and disappear when that person is unavailable or leaves.
Every structural problem below follows from that one decision.

Move off personal numbers. Use the official business platform or an authorised provider so that:

Value: send something useful — a price range, a relevant example, a short explanation.
Next step: propose a specific action with a time. "Can I call you at four today?" outperforms "let me know when you are free".
Follow-up: a defined cadence for non-responders, with a graceful exit.

A workable pattern for a considered purchase:
- Same day: value plus a proposed next step.
- Day two: one useful item, no pressure.
- Day four: address the most common objection.
- Day seven: a direct, easy-to-refuse invitation.
- Day fourteen: final message offering to close the thread, with an easy way back.
Stop after that. Continuing produces blocks, and a block is permanent.
Logging and CRM integration
Every conversation should create or update a record with source, stage, owner, and next action. Without this:
- Nobody can cover for an absent colleague.
- Reporting is guesswork.
- Ad platforms optimise on incomplete data.
- Leads with a long cycle simply vanish.
Consent and compliance
- Message people who initiated contact or gave clear consent.
- Use approved templates for business-initiated messages within platform rules.
- Honour opt-outs immediately and permanently.
- Never import purchased lists. It is the fastest route to a banned number and a damaged brand.
What automation should and should not do
Should: acknowledge instantly, route to the right owner, send appointment confirmations and reminders, deliver requested information, and re-engage dormant leads occasionally.
Should not: conduct the sales conversation, send long persuasive sequences, or pretend to be human when it is not. Customers detect it quickly and the channel's advantage is precisely its human feel.
Handling groups and broadcasts
Broadcast lists are useful for genuine announcements to consenting customers. They become spam quickly at high frequency. Cap it — a small number of broadcasts per month, each with a real reason to exist.
Groups are rarely appropriate for sales and often create privacy problems by exposing customer numbers to each other.
Measuring the channel
- Enquiries received.
- Average first response time.
- Qualified conversations.
- Conversion to next step — call, visit, order.
- Block and opt-out rate, as a health signal.
- Revenue attributed to WhatsApp-originated conversations.
